It's already been 2.5 months since we've held the largest DrupalCamp in New Hampshire history, and were pounded with one of the largest early season snow storms in history, and I apologize it's taken so long to get this wrapup in order and online.
DrupalCampNH 2011 was held October 29th, 2011 at SNHU campus in Manchester, NH. By our best estimate of the 260 registered attendees, we had roughly 150-165 attendees present on the day of event. Much of the lack in attendees can be attributed to the standard no-show percentages of free events. Also, we had a good number that were unwilling (and rightfully so) to make the trip because of the impending storm.
DrupalCampNH 2011 was a huge overall success no matter how you run the numbers. We are looking forward in the upcoming months to start discussions and likely have another Drupal NH Meetup Summit to discuss how to tackle the next camp.
The Numbers
Total Income: $11,518.20
The total income includes all sponsorship funds brought in, the Drupal Association Grant ($1,500.00), and subtracts any PayPal fees incurred for some of the sponsor payments. The total income also includes some of the sponsorship funds that were in-kind donations are balanced in the expenses.
Total Expenses: $8,844.84
Expenses can be broken down into the following categories:
- Venue: $1,523.00
- Food, Beverage & Afterparty: $2,613.34
- Print Materials (Badges, Schedules, Room signs): $925.60
- Accounting/Planning/Development: $1,500.00 (Development Geeks)
- Other: $2,282.90
The accounting/planning/development expense offsets the sponsorship for Development Geeks, and the "other" category covers various other in-kind sponsorships for various swag, and various miscellaneous costs for supplies for the day of event.
Final Balance: $2,673.36
We now have the above amount ($2,673.36) as a balance held by the Drupal Association in our DrupalCampNH account to help fund upcoming Drupal NH events, and DrupalCampNH 2012!!
This was a huge success, and thanks to both the Drupal Association for considering us for the grant, AND our fabulous sponsors for making all this possible. For the next camp we now have the kickstart funds to secure a venue without/before any outside help/sponsors come into play for the next camp!!
